How to share a calendar with other Groupware users
You can share your calendar with specific groups or individual Groupware users giving them the ability to see if you are available or to schedule appointments onto your calendar.
1. Open the Portal
2. Go to the Folder list in the navigation pane on the left.
3. Find the Calendar under the Private Folder – right click on Calendar and choose edit.
4. Click on the Share tab
5. Search for individuals or entire groups that will need to view or edit your calendar
6. Choose the correct name(s) from the list and click Add Users or Add Groups and you will see their name(s) appear below “set rights for selected users and groups”. (see example below) There are now options to set the permissions for each user.

7. Set the rights for each person in the list
** You must choose “read folder” as a minimum – they will see that an appointment is scheduled, but no detail**
Setting Rights:
- Folder Permission –
- read folder – can see that there is an appointment, but no detail of what it is or where
- create objects in folder – able to write appointments on your calendar
- create subfolders – able to create other calendars for short term scheduling
- Object Read Permission –
- no object readrights – can see there is an appointment, but no detail of what it is or where
- read own objects - can see the detail only of appointments that person created
- read all objects – can see the detail of all appointments
- Object Write Permission –
- no object writerights – can not edit any appointments once created
- edit own objects - can only edit objects that they created
- edit all objects - can edit all objects in calendar
- Object Delete Permission –
- no delete rights – can’t delete any appointments
- delete own objects - can delete only objects that they created
- delete all objects - can delete any objects in calendar
8. Click on SAVE!!!!!
*remember, if you wish to have someone create appointments on your calendar for you they do have to be given the folder permission of 'create objects in folder' as well as ‘write rights’. Please contact x23111 or helpdesk@eou.edu if you need more help with this or other features.
