This is a guide for faculty members who would like to have their tests graded with the scantron machine. It is here to educate faculty members on how scantron grading works, and to ensure that we can run the test in an efficient manner so you can get the results quickly. Please see the grading schedule below. At this time, we can currently run these tests:
The first thing you want to do is fill out the detailed information about your test as well as your contact information on the SCANTRON GRADEBOOK FORM. This form will be provided for you in the scantron grade book folder in the IT office. Here, you also have the chance to select which reports you would like a copy of. There are seven reports that can be printed. You can choose them all, or pick the ones that will give you the best results suited for your test. This will be located on the back of the form. You will need to fill out this form each time you submit a test for grading.
There are specific things that students need to do on all scantron forms in order for them to run through the machine smoothly and without errors. Please make sure your students know how to complete the scanton forms BEFORE they take the test. Things to remember include:
- Use #2 pencil only (marks made in pen will not be recognized by the scanner).
- 9 digit ID number must be written in, starting at the far left of the 10-number field, and must be bubbled in. (More or less than 9 digits or starting anywhere other than at the far left will cause an error, and the scanner will not accept the test)
- First and last name must be written in and bubbled in. (If it is only written at the top and not filled in with pencil, the scanner will not accept the test)
- If you have multiple versions of one test, the test form field must be bubbled in. (If there are multiple test versions, and the student doesn’t mark their test, (A,B C or D) the scanner will not accept the test.
Correcting any of these form errors is time consuming and can result in incorrect test results. For these reasons IT staff will not correct form errors when grading scantron exams. If there are form errors on submitted scantron exams, they will be returned to the faculty member(s) to be corrected. Once the errors have been corrected, the faculty member can resubmit the exams to be graded.
Once we finish grading the exam, we will send you an e-mail with an excel file attached. This file includes the student names and their scores. Your exams and reports will then be available for pick up in Ackerman 209 according to the following schedule (please note that this schedule is updated at the beginning of each term):
Monday – Tuesday – Wednesday – Thursday – Friday
Exams dropped off prior to 2:00pm will be available by 4:30 pm on the same day.
Exams dropped off after 2:00pm will be available by 11:00am on the following school day.
