Facilities: We have many different sizes and styles of classrooms and conference rooms available. Whether it be a small or large classroom, conference room, or a room for a large group, we have it covered. Our event specialist will work with you too make your event a success!
Media Services: We have everything you need to help your conference succeed when it comes to media. We can provide anything from screens to a full service PA system ! Your event specialist can help determine your needs during your consultation.
Copy Services: Need copies made for your meeting? Our event specialists are happy to help coordinate services with the copy center. Please let them know if you will be needing assistance.
Parking- Parking is available on campus for $2.00 per day. Visitors may also utilize free parking in the Community Stadium. For all parking information please click on the picture below.
Catering: SODEXO Catering Services can cater all your food needs during your event. Please click here to visit their website. The Catering Manager will work with you on preparing for your event.
The Office of Event & Conference Services schedules meetings and event space in the Hoke Union Building, Gilbert Center, as well as academic classrooms, The McKenzie Theater and Athletic facilities. Other space arrangements will be considered depending on the use of the facility for the specific event.
Various considerations should be considered before requesting a space for an event or meeting. The following information is vital to getting your event scheduled: preferred date of the event and possible alternate date, time and duration of the event, expected number of individuals attending, if other services are requested and/or required (parking, security, audio visual equipment, food service, etc.) and set-up needs.
Reservations for meeting rooms are advised to be made at last 1 week in advance, but must be made 48 hours in advance. Some approvals may require more then 1 week advance notice (i.e. events requiring major setups). A request does not guarantee a space, even if available at the time of request. Groups should not make any arrangements or do any advertising of the event until a confirmation of the reservation has been received from the Office of Event & Conference Services. Room rental charges for the use of space will be incurred depending upon the nature of the event and identity of the sponsoring groups.
Final room setups are due in the Office of Event & Conference Services at least 5 business days prior to the event. All setup and equipment requirements should be included in request as the room will be set up by the staff according to these instructions. Failure to meet the deadline could result in cancellation of your event or implementation of a surcharge.
