Writing Tutor Absence Policy


1) WHEN YOU KNOW AHEAD OF TIME

If a writing tutors know that they cannot make sessions a few days before, the day before, or even the morning before some afternoon sessions, it is the tutors' responsibility to arrange for back-up.

To do so, send a listserv message to writing-tutor@eou.edu (anyone who is a member of the listserv can send a message to other members) asking for back up. Provide the days and times you need covered. Ask those who can help to contact you directly.

Either you or the Writing Tutor covering should put a post-it note next to the students' names saying -- NAME will be covering NAME'S Sessions today." The Writing Tutor who is covering should watch for the students who may come in looking for their tutor because students might leave if the back-up Writing Tutor does not connect with them when they come in.

PLEASE--DO NOT send me an email or leave a phone message to arrange for back-up when you have time to arrange it yourself. I am in and out of my office, and have sometimes opened emails after the time has passed.

When you have made your arrangements for another Writing Tutor to cover your times, then send me an email to keep me informed.

2) WHEN IT IS LAST MINUTE DUE TO AN IMPORTANT EMERGENCY

Call the LRC Front Desk at 962-3663 to let them know that at the last minute you are unable to cover your sessions. Ask that the one who takes your message to leave a post-it message for the students.

IMPORTANT--Telephone me to keep me informed--962-3853 or send me an email. If I am available, I will cover tutor sessions when there is an emergency. If I am not in my office, but if I get your voice mail in time, I will cover you.

If you cannot reach me--You should have a roster of the students with whom you are working regularly, so contact those students to let them know you cannot make a session, and advise them to use Drop-In hours or you can reschedule with them.

PLEASE NOTE that as much as tutors become frustrated with no-shows, and rightly so, tutors cannot be no-shows. The system falls apart, and all tutors get a bad reputation when this happens.
