TELEPHONE TIPS


Avoiding Telephone Scams

Never transfer a call for anyone you don't recognize.

Never call a 900 number unless you know it's a correct number.

Never share your authorization card number with anyone.  Even student workers need their own code.


Want to transfer a call back to the called party's voice mail?

PRESS - #89.


To Transfer a Call Using the 2500 Set (Small black phone)

If you have a redial, recall or flash button: Press the redial, recall or flash button and dial the number transferring to, and then the button again. You may either stay on the line or hang up.

If you don’t have a redial button: Press the hang up button very fast “flash”, you should get dial tone, dial the number transferring to, and then “flash” again. You may either stay on the line or hang up.


You need to forward your phone temporarily:

*2 forwards your phone to another number with no ringing at your phone.

Pick up receiver, hear dial tone, press *2, press in the phone number you want to forward your phone to,
hear beep,beep,beep, hang up.To turn off press #22

*3 forwards your phone with 3 rings at your phone first.

Pick up receiver, hear dial tone, press *3, press in the phone number you want to forward your phone to, hear beep,beep,beep, hang-up. To turn off press #22

* 8 forwards your phone to your path, usually Audix.
(or the next line in your coverage path).                 
To Turn off press #88



Your phone isn't ringing at your desk.  How do you take it off call forwarding?

#22 or #88.
If you don't know which, do both.

If that doesn't work, call the Help Desk at: x23111 for assistance

Did you know everyone has the ability to set up a personal dialing list (speed dialing)?

Some of the defaults may be small (5-20),
so if you need more just call.

Pick up receiver, listen for dial tone, press #80,
hear beep,beep,beep, press 1 for your list number,
01 for your first entry (02,03, etc for following entries)

then the number you wish to speed dial, remembering to use 9, 1, and area code.

Be sure to keep a list of your numbers to refer back to.

NOTE: Please DO NOT put your authorization code in speed dial.



Last number redial

Press #73.

Automatic call back

You have dialed an extension number and got a busy signal.

Press recall,*5, extension number, and hang up.

Listen for 3 short rings,pick up your handset and hear ringing.

To de-activate press #55.

Remember: the recall button is only a temporary hold.


Call Hold

Some of the phones have a red HOLD button which works, but the caller will not hear any music and may think you have hung up on them.  The 'recall' or 'flash' button will correctly put the caller to the music on hold system. 

Use *4 for hold longer than 2 minutes.
To put a call on hold press recall, *4 and lay the handset down.

To hold call and consult with another party press recall, *4, then dial third party.

To alternate between calls press recall, *4.

To return to held call simply hang up, the phone will ring
(the caller does not hear the ring).



Three-way conference:

Press recall, dial third party, converse, press recall again to join first caller to conference.

If you should happen to get voice mail just press the recall button again to drop the call.

Simply hang up to disconnect yourself from the conference.

VOICE MAIL TIPS


To pick up messages in your own office

First, Dial x23200 and listen for the voice

#, (your password). #

PRESS
2 for the header information

PRESS
0 to listen to the message

Or, you may listen to the menu before you press 2 for other choices.

*** voice messages are stored on Audix for only 30 days.***


Logging out from Voice Mail

Before hanging up after using voice mail,
PRESS * * 9 to log out.


Transfer a call to voice mail

To transfer a caller to someone's voice mail and not make them wait through the rings again or interrupting a meeting or making everyone listen to the phone ringing in the office again.

Press recall, dial 23200,

for extension enter their 5 digit extension #, then 4545# for the password.

This accesses their voice mail as a guest.

The answer is immediate, so be ready to press that recall button again or just hang up and the call
will be transferred.


Picking up messages from home

Easy - just dial 962-3200, be sure to put in your extension when asked, pound only works from your office, then your password.


Don't want to hear that long message, just want to leave voicemail?

Press 1 as soon as the message begins.

Message too slow or too fast?

While logged into Audix press 8 to slow the speech down 9 to speed them up!

More tips:

4 to make louder,
7 to make softer,
5 to go back,
6 to advance,
3 to pause-3 to continue.

To rewind and play the whole message over again press 2,3,0
(rewind, play,listen).


Second Chance to Enter Password:

After you dial in to your voice mail system,
hit # for extension, and mess up your password -
Before you press the # sign,
press *D to get a second chance to enter your password!

Other tips:

Changing your password:  press 5, then 4

To undelete a message you have accidentally deleted: **U (you must do this right away)

To turn your message waiting light back on:  **H

For help: *

To look up a name:  **N

Remember, you must log out when finished using voice mail    **9
