Staff Meeting Minutes
Tuesday April 19, 2005

Present: Michelle,
Selina, Patrice, Lyndall, Sue, Diane and Vicki. Karen is excused due to
illness.

Welcome and coffee
3.
Meeting called to order
by Vicki at 0805.
4.
Childhood Wellness
Research: Nancy Findholt shared her plans and progress on her community based
participatory childhood nutrition and fitness research. She plans to involve
HNRS in the Youth Wellness Committees. The scales and height meter purchase was
not funded at this time, but may be in the future.

Staff updates on
activities in each school: things are pretty much status quo.

HNRS calendar review:
Staff updated the calendar to reflect changes needed for May, Vicki will get
these to Cathi today so the May calendar can be completed soon.
7.
Student triage issues:
staff discussed ways to ensure that provider time is used in the best way. It
was suggested that counselors pre-schedule short routine sessions with students
needing ongoing contact with the counselor. For example seeing a student for 10
minutes every Tuesday morning at 9:00 am to touch bases. It is fine to talk
with the parent and let them know what can reasonably be provided in the
schools, and make a referral for more intensive interventions.

School Clinic Billing
Update: Vicki said that her goal is to trial the QuickClinic program in the
schools for the month of May.

SY 05-06 calendar: he
OHSU 9 month contract dates do not mesh with the HNRS school dates. We
discussed the difficulty we always have with our contracts when we work more
than a 9-month (40 week) contract with supplemental contracts. It was decided
that HNRS would do a 9-month contract without a supplemental this next school
year recognizing that the schools may need some staff to provide inservices, or
sports physicals before the actual start date of our contract. Staff agreed
that they would be available to provide these for the schools, and would “take
back” the time after the HNRS contract starts. Vicki found that schools are
starting the last week of August or first week of September and end June 1 or
2. The HNRS contract for the next school year will be August 29, 2005 to June
2, 2006

QA and satisfaction
surveys: We will be doing satisfaction surveys in each school again this year.
Grades 5 and 8 will receive the student surveys. Parent surveys will go to
parents of students in grades 3 and 4. Every teacher will receive a survey. All
FRC clients will receive a survey. Diane graciously agreed to copy and
distribute the surveys again this year. Thank you Diane!! Vicki will collect surveys for Elgin, Imbler
and Cove and Diane will collect them in Union and North Powder and deliver them
to Vicki’s office. The surveys need to be collected by the middle of May. Vicki
will use this data in evaluating the program and staff. QA forms were given to
providers. Each provider needs to randomly select 10 charts to review in each
of their schools (so if you have 2 schools, you will do 20 charts. The review
form is very simple and it should not take more than a couple of minutes to do
each chart. There are separate forms for nursing and mental health
providers. These need to be completed
and turned in to Vicki by May 10. Thanks everyone!!

Next meeting date and
time: It was decided that we would have a retreat and potluck at Patrice’s in
June. Vicki will determine some possible dates and get that information out.
More information will be forthcoming.

Some contracts end on
May 27 (Vicki, Selina and Lyndall) and some of our contracts end on June 3
(Patrice, Michelle, Karen, Diane, Sue) this year. Vicki had previously
announced that the last day for HNRS was May 27. In light of this confusion, staff with a contract ending June 3,
have the option to NOT work the week ending June 3 if they so desire. Next year
we WILL all have contracts that start and end on the same dates!

504 Health Plans for
IEP kids: There has been some talk in the schools of using HNRS for the IEP
health plans in the future. Michelle and Selina are supportive of this idea but
will need more time in Union and Elgin schools to provide this. There is also
some concern about training and delegation for this service in the schools.
Vicki plans to speak with Mary Apple about this proposal.
